How to Train a VA on Your Shopify Theme: Editing Products, Pages, and Navigation

VirtualAssistantVA Team·

Why Every Shopify Store Needs a Trained VA

If you're updating product listings, editing page content, and managing your Shopify navigation yourself, you're spending time on execution that has no leverage. Shopify store management is one of the most trainable and delegatable jobs in e-commerce — once you invest in proper training, you're largely removed from the day-to-day operational loop.

The training process itself takes 3-5 business days if done systematically. This guide gives you the exact steps.

Before Training Begins: Set Up Safe Access

Never give your VA your Shopify admin login. Instead, create a staff account with appropriate permissions.

Creating a Staff Account

  1. In your Shopify admin, go to Settings > Users and permissions
  2. Click Add staff member
  3. Enter your VA's name and email
  4. Set permissions (see below)
  5. Save and send the invitation

Recommended Permission Levels for Most VAs

Permission Grant? Notes
Products Yes Core function
Collections Yes Core function
Pages and blogs Yes Core function
Navigation Yes Core function
Orders Depends Grant if VA handles CS
Customers Depends Grant if VA handles CS
Discounts No (initially) Introduce later if needed
Reports/Analytics Yes (view) Useful for VA reporting
Themes View only Allow preview; restrict publishing
Settings No Owner only

Do not grant access to Billing, Apps, or Domains during initial onboarding.

Day 1: Shopify Admin Orientation

Goal: VA understands the admin interface and can navigate confidently.

Walk your VA through:

  • The main admin dashboard (orders, products, collections overview)
  • The left navigation and where each section lives
  • The difference between Products and Collections
  • Where Pages and Blogs are located
  • How to access the Online Store section (Themes, Pages, Navigation)

Practice task: Have your VA find and describe five specific things in the admin (e.g., "Find the most recent order," "Find the Blog Posts section," "Find where you edit the navigation").

Day 2: Product Management

Goal: VA can create, update, and organize products correctly.

Product Editing

Walk through editing an existing product:

  • Title, description formatting (using Shopify's rich text editor)
  • Product images (uploading, reordering, alt text)
  • Pricing and compare-at pricing
  • Inventory quantity and SKU
  • Variants (sizes, colors) — adding, editing, hiding

Creating a New Product

Walk through creating a new product from scratch using your product template. Show:

  • Your naming conventions
  • Your description format and structure
  • How to assign the product to the correct collections
  • Tags and metafields if applicable
  • Setting the product as active vs. draft

Practice task: Have your VA create a test product (mark it as a draft so it won't go live) using a specification sheet you provide.

Day 3: Collections and Navigation

Goal: VA can manage product organization and store navigation.

Collections

  • Manual collections: how to add/remove products
  • Automated collections: understanding the rules and conditions
  • Collection images and SEO fields

Navigation Menus

Navigation is one of the most impactful — and risky — editing tasks in Shopify. Cover:

  • Main menu vs. footer menu
  • How to add, edit, and reorder menu items
  • Link types (collections, pages, URLs)
  • How to create a dropdown (nested) menu item

Important: Emphasize that navigation changes are live immediately. Your VA should test all changes on a mobile preview before saving.

Practice task: Have your VA add a test item to your footer menu and confirm it appears correctly on mobile preview. Then remove it.

Day 4: Pages and Theme Content Editing

Goal: VA can update page content and make basic theme edits.

Editing Pages

Walk through editing a standard page:

  • Shopify's page editor (rich text)
  • Embedding images in page content
  • Adding/updating internal links
  • Page SEO fields (page title, meta description)

Theme Content Editing (Shopify's Customize Tool)

The Customize tool allows editing of sections and blocks on your home page, collection pages, and other templates. Walk through:

  • Accessing Customize (Online Store > Themes > Customize)
  • Editing text blocks and image blocks
  • Adding and removing sections
  • How to preview on mobile vs. desktop

Critical: Emphasize that changes in Customize are live when published. Establish a rule: "Preview on mobile before publishing. Never publish without reviewing."

Practice task: Have your VA edit an existing content block in Customize, preview it, and revert the change without publishing.

Day 5: SEO, Images, and Quality Standards

Goal: VA understands your SEO and quality standards for all content.

Image Requirements

  • Your preferred image dimensions for product photos
  • How to compress images before upload (Squoosh or similar)
  • Alt text standards ("descriptive, keyword-relevant, under 125 characters")
  • File naming conventions

SEO Fields

  • Product SEO: title tag format, meta description best practices
  • Page SEO: title tag and meta description
  • Collection SEO: how to write collection descriptions

Quality Checklist

Create a pre-publish checklist your VA uses before any change goes live:

  • Spelling and grammar checked
  • Images optimized and alt text added
  • All internal links tested
  • Mobile preview reviewed
  • SEO fields completed

Common Shopify VA Mistakes to Address in Training

Mistake Prevention
Publishing without mobile preview Add to checklist; require confirmation
Overwriting product variants accidentally Walk through variant editing carefully in training
Breaking navigation links Require link testing before saving
Skipping alt text Make it a non-negotiable checklist item
Making live theme edits without backup Duplicate theme before major edits
