Virtual Assistant Job Description Guide: Everything You Need to Know

Virtual Assistant News Desk·

Why Your Job Description Is the First Hire Decision

The quality of your virtual assistant hire is determined largely before any application is submitted. A well-written job description sets accurate expectations, attracts candidates whose skills match the actual work, and filters out applicants who would not succeed in the role. A vague or inflated job description does the opposite.

According to LinkedIn's 2024 Global Talent Trends Report, job postings with clearly defined responsibilities and required tools receive 40% more qualified applications than postings that use generic language. For VA roles, where the title itself is broad, specificity is especially critical.

The Essential Sections of a VA Job Description

Job Title

Use a specific title that reflects the actual scope. "Virtual Assistant" is too broad to attract specialized talent. More effective titles include:

  • Administrative Virtual Assistant
  • Executive Virtual Assistant
  • Social Media Virtual Assistant
  • Customer Support Virtual Assistant (Part-Time, Remote)

Including the engagement type (part-time, full-time, contract) in the title reduces mismatched applications.

Company Overview

Two to four sentences describing what your business does, who you serve, and your team size. This helps candidates assess culture fit and provides context for the work they will be doing.

Role Summary

One paragraph explaining the primary purpose of the position. Specify whether this is a solo VA role, part of a broader remote team, and what the VA will primarily be supporting (executive, marketing team, operations, etc.).

Responsibilities

This is the most important section. List specific, concrete tasks rather than broad categories. Compare:

Too vague: "Handle administrative tasks and support the team."

Effective: "Manage the CEO's inbox using Gmail labels and filters, schedule 15–20 meetings per week using Calendly, compile weekly reporting dashboards in Google Sheets, and respond to client inquiries within 4 business hours."

Group responsibilities by category if the role spans multiple domains. Limit the list to tasks the VA will actually perform — do not inflate scope to make the role sound more senior.

Required Skills and Tools

List both hard skills and software tools explicitly. This section should match your pre-hire skills checklist. Include:

  • Specific platforms (Google Workspace, HubSpot, Asana, etc.)
  • Communication expectations (Slack, email response SLAs)
  • Any required certifications or prior experience levels
  • Language requirements if supporting non-English markets

Work Hours and Time Zone

State expected hours, availability windows, and the time zone the VA must operate in. Many businesses lose otherwise qualified VAs by failing to specify this upfront, leading to timezone conflicts that emerge post-hire.

Compensation

Industry data from Upwork's 2024 Freelance Economy Report shows that VA roles listing a compensation range receive 35% more completed applications than those that omit pay information. Provide a range — hourly rate, monthly retainer, or project fee — and specify whether the rate is fixed or performance-adjusted.

Nice-to-Have Qualifications

Separate must-have requirements from preferred ones. Lumping them together either narrows the applicant pool unnecessarily or misleads candidates about qualification thresholds.

Common Mistakes to Avoid

Overloading the role: Listing 25 responsibilities signals that the role is underpriced or poorly scoped. If you need more than one VA's worth of work, hire two.

Skipping the tools list: "Tech-savvy" is not a tool requirement. Name every platform the VA will need from day one.

Omitting hours and availability: This creates the single most common post-hire conflict in remote working relationships.

Using internal jargon: Write for candidates who have never heard of your business or industry.

Sample VA Job Description Template

Title: Administrative Virtual Assistant (Part-Time, Remote)

Hours: 20 hours/week, Monday–Friday, 9am–1pm Eastern

Responsibilities: Manage executive inbox, schedule meetings via Calendly, compile weekly KPI dashboards, handle vendor invoicing in QuickBooks, and draft client correspondence.

Required tools: Google Workspace, Slack, Asana, QuickBooks Online

Rate: $18–$24/hour based on experience

For businesses that prefer to skip the job description process entirely and work with a curated pool of vetted candidates, VA agencies handle matching based on a detailed intake form. Stealth Agents offers dedicated VA placement with pre-screened professionals across all major specialties.
